2023 PREVIEW PROJECT - HOW IT WORKS

We have listened to your feedback and requests and are trailing a new  ‘preview-see first’ project for existing organisers.  In this project, the parents see the artwork image online when ordering. This is for a limited number max 50 schools and will require all artwork to be submitted by the mid-end of October.  If you would like to be considered for this trial please call us on 0800 043 2273 and mention ‘preview project.'

Complete your project with us in 5 easy steps:

  1. Register and Upload class names and Pupil names (CSV file)

  2. Print your A4 forms (coded with individual pupil names)

  3. Return the Artwork to us. (Free of charge)

  4. Hand forms to parents for ordering online where they can preview the image before purchasing.

  5. Products Delivered 

TIME TO ORDER

  • The team at Cauliflower images all your designs

  • We send the whole pack back to you for distribution for ordering. 

  • Download the ordering template document and edit this as required – Ordering Instructions (pdf)

  • Hand the whole form to the parents to place their orders online by Midnight on the 5th  November 2023.

  • The parents will see their child’s artwork on the screen when placing their order.

REGISTER & UPLOAD

  • Register for the project – you will need the number of Classes and Pupils per class (average)

  • Once registered, you will need to input/ upload the Class names and Pupil names (First, Last Name) as a CSV file. Simply create the list on Excel then click ‘save as’ and change from Excel workbook to CSV (Comma delimited) (*.csv) from the dropdown list.

  • We will send out your free return courier bag, Class envelopes and your admin guide.

Now you’re all set up... time to start your project.

PRINT FORMS

  • You will receive an A4 printable PDF of the order forms – These will have the child’s names and their unique code already printed on, 

  • Now you are ready for the fun part... Creating masterpieces.

  • Time to get creative and produce your designs on the forms. Please read the artwork guidelines and remember we cannot accept any forms with pencils or colour pencils on – these just don’t give the best results - felt tips, collages and paint all look fab!!

STEP 2

RETURN THE DESIGNS TO US

  • Please get the forms back to us ASAP to ensure your parents have enough time to order. We will need all artwork forms back by the latest Thursday 12th October 2023.

  • Simply package the artwork into the class envelopes and put these into the courier return bag with the return label affixed.

  • Take this to any UK post office or shop displaying the post office sign and you will be given proof of postage receipt.

Delivery of Orders

  • We send all ordered products back to ONE return address via parcel force and you will receive full tracking information.

  • The order will come in two parts (Mugs can arrive separately)

Reorders

Parents reorder by simply logging back into the parent shop they will be charged Postage and Packaging under £50 and the orders will be sent to a UK address*

If the school order deadline of MIDNIGHT on 5th November has passed. Orders can still be placed using the order form, however, they will be charged for Postage and Packaging and the orders will be sent to a home or alternative UK address of their choosing.*

 

*Please note that NO commission is earnt on any late or Reorder orders placed

Both parents can order using the same unique code. You may wish to make a photocopy of the form and handout to the other party. The parents will see the artwork when they enter the code to order. Each parent needs to create their own account and cannot see any other orders against that code.

  • We have two schools, how do we place our order on line?"
    Each school will have to have its own unique record. Please register each school separately.
  • PARENT PAYMENTS: How do the parents pay?
    Parents will pay online, through our online shop using a credit or debit card only. We cannot process payments over the phone, cash, or cheques.
  • How does the Commission work?
    You may, at any time see how much commission has been raised in your admin portal. Commission will be electronically paid to the bank account set up in the organisers portal in the January after your project - if no bank details have been added to your portal you will be emailed several reminders in January & February. We do not pay commission by cheque - if you specifically require a cheque we will deduct a handling fee for postage and bank charges. We will hold your commission for a maximum of 2 years only - you must claim your commission in this time or your claim will no longer be in date.
  • Can we have the school logo on the cards?
    Yes, you can upload your school logo into the admin portal. Logos must be high-resolution jpg. The logo must be uploaded to the organiser’s portal before the artwork is ready to be sent back to us for it to appear as an option for the back of the cards.
  • What happens if I do not have enough forms?
    Please contact customer services and request some additional forms. You must not photocopy the forms, as each form has a unique ordering code on it and is specially prepared for your school.
  • How do separated parents make orders?
    Both parents can order using the same unique code. You may wish to make a note of the code and hand out to the other party.
  • How do I book my courier?
    Confirm your collection a few days before your deadline. Your collection must be confirmed in your portal. Please ensure that your bags are at the front office from 8.30am on the date given.
  • Can we organise a second collection?
    We offer one FREE collection from each registered setting. Any further collection will be charged at cost rate.
  • What happens if a parent places an order before the deadline but brings in the artwork after the collection has taken place?
    If the parent sends the artwork straight away within a few days of collection we will try and get it in with the school. Any artwork not received or matched up with a school in time before the school is processed will have the order cancelled and refunded.
  • What does a parent do if they want to place an order but the deadline for orders has passed?
    Set up an online account via the parent shop and add the codes from your children’s artwork forms - you will then be able to continue to place an order then when we have received your artwork. You will receive an email confirmation to commence ordering when we have processed your artwork. This can be sent by Post or uploaded on our website.
